This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, who we may share it with, how long we retain it and the rights you have under UK data protection law.

1. Who we are

Business address: Property 3Sixty Ltd, Moreside Retreat, Charles Lane, Glossop, Derbyshire SK13 7SF.

Data Controller: Property 3Sixty Ltd.

If you have any questions about this Privacy Policy, how we use your personal information, or wish to exercise any of your data protection rights, please contact us using the details above.

2. Personal information we collect

We may collect your name, postal address, email address, telephone/mobile number, booking and reservation details, arrival and departure dates, information relating to your stay, communications with us, guest feedback and reviews, enquiries and complaints, marketing preferences, records of consent or withdrawal of consent, and other information you voluntarily provide.

Where you make a booking through a third-party booking platform, we may receive personal information from that platform which is necessary to administer your reservation.

Where payments are processed by a payment service provider, bank or booking platform, payment information may be processed by that organisation under its own privacy arrangements.

3. How we use your personal information

We may use personal information to process and administer reservations; provide accommodation and guest services; communicate with you before, during and after your stay; process or facilitate payments; respond to enquiries, requests, complaints and feedback; improve our accommodation and services; maintain business, accounting and financial records; protect our guests, premises and business; prevent or investigate fraud or misuse; comply with legal, regulatory, tax and accounting obligations; establish, exercise or defend legal claims; and send marketing communications where permitted by law.

4. Our lawful bases for processing

Contract – where processing is necessary to take steps at your request before entering into a contract or to perform our contract with you, including administering your reservation and providing accommodation.

Legitimate interests – where processing is necessary for our legitimate business interests and those interests are not overridden by your rights. These interests may include operating and improving the aparthotel, responding to feedback, maintaining records, protecting property and preventing fraud.

Legal obligation – where processing is necessary to comply with a legal, regulatory, accounting or tax obligation.

Consent – where we ask for your consent for a particular purpose, including certain marketing communications. You may withdraw consent at any time.

5. Guest feedback forms

If you complete a guest feedback form, we may use the information to understand your experience, assess our services, respond to comments, investigate complaints or problems and improve our accommodation and services.

Providing feedback is voluntary. Providing an email address or telephone number so that we can respond does not automatically constitute consent to receive marketing communications.

6. Marketing communications

We may occasionally contact guests about Westwood Aparthotel news, special offers, promotions and accommodation opportunities.

Where consent is required, we will ask you to make a clear, positive choice. Marketing boxes must not be pre-ticked, and marketing consent is not a condition of making a booking, staying with us, submitting feedback or receiving a response.

Where permitted by law, we may contact existing customers about our own similar products or services under the applicable 'soft opt-in' rules, provided all legal requirements are met.

You may withdraw consent or opt out at any time by using an unsubscribe facility, following text-message opt-out instructions, or emailing info@westwoodaparthotel.co.uk. We may keep limited information on a suppression list to ensure your opt-out continues to be respected.

7. Information received from third parties

We may receive personal information from online travel agents, accommodation booking websites, reservation platforms, travel agents, payment providers and other organisations acting on your instructions. This may include your name, contact details, booking details, dates of stay and information needed to administer your reservation.

8. Sharing your personal information

We do not sell your personal information.

We may share information where reasonably necessary with booking and reservation platforms, online travel agents, property management systems, payment providers, banks, IT and website providers, email and communications providers, accountants, solicitors, contractors and other service providers, and with government departments, regulators, courts, police or other authorities where disclosure is required or permitted by law.

Where an organisation processes personal information on our behalf, we take appropriate steps to ensure it is handled securely and in accordance with applicable data protection requirements.

9. International transfers

Some service providers, technology companies or booking platforms may process or store personal information outside the United Kingdom. Where personal information is transferred internationally, we will take appropriate steps to ensure that the transfer complies with applicable UK data protection law and that appropriate safeguards are in place where required.

11. Security of your information

We take appropriate technical and organisational measures to protect personal information against unauthorised or unlawful access, accidental loss, destruction, damage, misuse, alteration or disclosure. Access is restricted to people and service providers who reasonably require it for legitimate business purposes.

12. Your data protection rights

Depending on the circumstances and the lawful basis for processing, you may have rights to access your personal information; correct inaccurate or incomplete information; request erasure; request restriction; object to certain processing; request data portability where applicable; and withdraw consent where we rely on consent.

You have the right to object at any time to the use of your personal information for direct marketing. If you object, we will stop using your personal information for that purpose.

To exercise your rights, contact Philip O’Hagan, Data Protection Contact, Westwood Aparthotel / Property 3Sixty Ltd, Moreside Retreat, Charles Lane, Glossop, Derbyshire SK13 7SF, or email info@westwoodaparthotel.co.uk. We may need appropriate information to confirm your identity.

13. Complaints

If you have concerns about how we have used your personal information, please contact us so that we can investigate. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s independent data protection regulator.

14. Providing personal information

Certain personal information is necessary for us to enter into and perform an accommodation contract with you. If you do not provide information reasonably required to make or administer a booking, we may be unable to accept or fulfil your reservation or provide certain services. Information requested solely for marketing is optional.
